Reimplementing Ruby on Rails system and ongoing low-volume sysadmin work at Upwork

In 2014, several students and I implemented this system as part of a university research project: http://www.grammarbrushstrokes.com/

The core functionality is to enable middle-school children to write sentences in English using particular sentence patterns, exchange those sentences with their classmates, and submit them to their teacher. Underlying that core functionality, there is a login system for both teachers and students, a model where teachers create one or more classrooms and students join them, a database for storing and exchanging the sentences, an interface for students to write and review classmates’ sentences, functions for teachers to view their class roster and make announcements, and a PDF-exporting function for the teachers.

Over the years, I have kept it operational. The system currently runs using Ruby 2.6.8, Rails 4.2.8, and the Heroku-18 stack.

I would now like to be able to step back from the role of technical lead and sysadmin. Therefore, there are two main elements that we are recruiting someone to do.

1) Update/Upgrade the current system

The team would like the system to continue to run for several more years; as such, I believe the system should be updated to run on Ruby 3.1.2 or higher, Rails 7.0.2 or higher, and the Heroku-20 stack or higher. Given that there is an operational code base, the desired work would entail one of two paths:

1) updating my code as needed.

2) reimplementing the system from scratch using the current working version as a model.

With either of those approaches, we will need the system to load the existing database content, so teachers and students can use their old logins and see their past work. In addition, we would like the existing system to continue to run in parallel for a few months until all issues with the new version have been ironed out.

2. Ongoing technical support/systems administration as needed

Over the years, I have fielded a low volume of technical questions from the rest of the team. In addition, the system sends periodic messages to my inbox (via Papertrail) when the system throws an error, and Heroku contacts me about required system maintenance, etc. I would like to hand off these aspects as well.

Here’s what I see as the core responsibilities.

a) Keep the Grammarbrushstrokes system operational for several years, as needed by team.

— a1) Once per year, perform an update to the Grammarbrushstokes system to make it run using the most current versions of Ruby, Rails, Heroku, and any gems that are likely to cause the system to stop functioning within the next year.

— a2) Have the Heroku system configured so that it sends you any relevant error messages.

— a3) Within a reasonable amount of time, fix any issues that cause the system to be unusable.

b) Be the point technical person for any user issues, logistics and expense-related decisions that the team encounters. Over the past several years, the throughput of these issues has been low, perhaps 2-3 emails per year.

Could you provide us with an estimate of which of these two paths in section 1 you anticipate would be easier, and how much it would cost to undertake that approach? Could you also estimate how many hours per year you anticipate section 2 would take?

Our technology

Our web application is a single-instance, multi-tenant Ruby on Rails monolith supported by Postgres (database), Redis (background jobs), and memcached (Rails caching). We also run a Node.js webserver to support collaborative editing and real-time updates. Our application is hosted on Amazon Web Services and architected with ECS for reproducibility and scalability.

We utilize a growing amount of React on the front end to build rich client-side experiences, including our fully collaborative text editor and our slide presentation editor.
